-
Productivity Reports
The app’s productivity tracking features, such as the Karma system, which awards points based on task completion and progress reports, are popular among users. These tools provide motivation and help users track their productivity over time.
-
Limited Free Version
Some users feel that the accessible version of Todoist is limited in terms of features. This can be a drawback for users who need these features but are not ready to commit to a paid plan.

Todoist – task management software
The Todoist fairytale began in 2007 when a science student struggled with managing daily tasks. He created a small app called Todoist, which functioned as a digital to-do list. As he delved deeper into his personal struggles, he realized that he wasn’t the only one facing such difficulties.
The situation could be overwhelming and stressful for many others too. When his app proved to be a solution for many people, it gained a following organically. As the audience grew, more people joined his vision and started using the product.
Over almost 14 years, Todoist transformed from a personal project to a market-leading Swiss Army Knife of task management.
About Todoist
Todoist is a task management software and to-do list app that can greatly improve your workflow, productivity, and overall quality of life. In this review, I will share my experience with the app, how it has transformed my daily productivity, and how it can benefit small businesses. Keep in mind that if you have a medium or large business, you may need a more complex solution.
However, if you are looking for an excellent tool to organize your tasks, Todoist is the perfect choice. Instead of writing down your daily tasks on paper or sticking notes on your fridge, why not have all your tasks in one place on your phone or laptop?
Todoist allows you to create tasks and projects, add comments and attachments, set push notifications, and much more. It is an all-in-one solution for organizing your work and personal tasks, which will help you achieve more and feel accomplished at the end of each day. You can use labels and filters to prioritize your tasks and schedule them according to your preferences.
With Todoist, you can plan your work tasks as well as your personal tasks like paying rent or grocery shopping.
It doesn’t matter if you are a freelancer, a student, a small business owner, a work-from-home professional, or a full-time parent. In today’s digital age, we all need an app that can help us organize our lives more efficiently.
With Todoist, you can not only boost your productivity but also reduce stress and make your everyday life more manageable and enjoyable.
How to use Todoist?
One of the main benefits of Todoist is that it is user-friendly, intuitive, and easy to use. Moreover, Todoist will offer you suitable instruments to track every little detail to get your tasks done. Also, helps you organize them by making progress on the most critical projects and even plan your day/week to gain productivity and improve your workflow.
I use the Todoist app for macOS to plan my entire week – from things I have to pay for the home to work tasks and even personal projects.
For me, Todoist helps me get the big picture of each day. If I need a deadline to push my workflow, I can schedule every task or project. Add a new task in the app, click +, and create it; you can also name it and put due dates and times. Moreover, you can make and add sub-tasks if the project is becoming more extensive.
One of the main benefits is that it is intuitive, and the app itself is a guide. And I firmly believe that, and I will prove it in this review.
Use cases for Todoist
-
Organize your projects
Todoist is an expert in organizing and managing your tasks. If you want, it is a Marie Kondo but for digital. It will help you to keep your mind clear but focused on essential projects. Moreover, it is suitable for anyone, no matter their job, from a teacher who wants to plan each class or a freelancer who has many projects in progress for different clients and is looking for a solution to keep them together but still separately.
Or even if you have a business with a small team and want every team member to know everybody is working. Or if they have to work together on a project. All you have to do is Add Project. Todoist will remember for you what you have to do and when you have to deliver it.
-
Planning your day
Another great thing that you can do with Todoist is to plan your day. While enjoying your coffee, think about the essential tasks you want to get rid of and mark them done. This will be considerable progress for your daily schedule and mental health. Just look at what’s in progress and what can’t be postponed, and let Todoist remember for you.
Today and Upcoming, you have two sections that allow you to see all the due today’s projects and for next week, for example.
Planning the day allows you to improve your workflow and not forget to do something for yourself. I even put in Todoist tasks like “Water your plants” on a recurring date among my articles for work, my own poetry project, and even tasks like “Pay the rent, or you get out.”
-
Task management tool for students
When I was a student, I wished I had known about this amazing tool. As a student, it is often difficult to stay on top of all your tasks and organize them efficiently. It’s easy to forget important deadlines and exams. I used to complete my tasks at the last minute because I had too many things on my mind. That’s why it’s essential to extract your to-do list and put it in the appropriate software.
This will free your brain and allow you to focus on the most important things.
So let’s see what you can do as a student with Todoist:
- Sync your to-do list with your calendar. Prioritize, prioritize, prioritize.
- Plan your classes for each semester
- Get reminders automatically. That’s the main role of a Todoist: to remember what you have to do.
- Attach files that you need for each task
- Compatible with Mac, iOS, Android, Windows, Browser, and Chrome
- Natural language. If you don’t want to miss your exam, add a task “Don’t forget about the exam, you lazy.”
- Add projects/tasks from everywhere.
- Siri and Amazon Echo integration
Todoist Features Detailed
I think that you’ve already understood the magic things that this tool is capable of, but let’s discover some of the most important features. Some of them are available with a paid subscription, but I’ll tell you more about the Todoist cost at the right time. I paid for a monthly subscription to have all the features and get the best from this app. And it was worth every penny.
So now, let’s discover the Todoist premium features and see for yourself if this is the missing piece from your puzzle.
-
Tasks Overview
I really appreciate the app’s ability to provide an overview of my daily schedule. It’s easy to add, move, or schedule tasks to ensure realistic productivity. The drag-and-drop feature makes it effortless to manage my to-do list. Todoist is more than just an app. It encourages self-reflection on productivity, expectations, and workflow improvement.
A great feature is the ability to add recurring due dates. This allows me to create a daily habit, such as reading from a book, without having to schedule it every time. The app sends a reminder for repetitive tasks.
To set up recurring tasks, I just add an exclamation point after the word “every,” followed by a space before the next word. Todoist is an invaluable tool for organizing and managing tasks. I made the right choice choosing Todoist, and I recommend it to anyone looking to improve their productivity.
-
Organize and Prioritize
Organizing your projects and prioritizing your tasks has never been easier with Todoist. Before I started using this tool, I had to juggle four different agendas for each project, which was time-consuming and hampered my productivity. However, with Todoist, I can manage all my tasks in one place, which has significantly improved my workflow and productivity.
The software allows you to keep your favorite projects on top and add labels and filters to streamline your workflow.
Overall, Todoist is an excellent task management software that has made a positive impact on my work and overall productivity.
Another great option for you to ensure that your projects are organized is that you can add subtasks. This is a great feature when you work in a small team and have a big project. With the Todoist premium feature, you can add subtasks for each team member and share the project with them.
Or you can do that with your personal projects. Also, you have to option to highlight the most important tasks of the day.
-
Share the workload
Another great feature that Todoist offers you is sharing. Why not free your mind from some tasks or collaborate directly with one of your team members on a specific project? Or maybe share your grocery list with your family! There are so many situations where this digital to-do list will ease your job. Also, I think this benefit can be amazing for students when working in a university project team.
Here’s what you can do:
- Delegate tasks and free your mind
- Activate notifications to know whenever someone posts, leaves a comment, or completes a task.
-
Analyze progress
As we talk about improving productivity, it is worth noting that Todoist offers you the ability to analyze your tasks and accomplishments. However, it is important to remember that achieving a big goal takes small steps. That’s why I use Todoist – to organize my thoughts and work into a digital to-do list that helps me stay on top of things.
-
Karma System
One impressive feature of this platform is its Karma System. It is available in all three plans- free, premium, and business. The system motivates you to complete tasks on time and helps you become a better version of yourself. Whether you are a novice or a grand master, the Karma System will push you to improve your productivity.
Earning Karma points is possible by adding and completing tasks on time or by taking advantage of premium features to organize your tasks and achieve your daily/weekly goals. However, keep in mind that having more than four overdue tasks can result in losing points. Although it may sound like a game, it is a proven system that works.
Additionally, you can activate Vacation Mode, which will pause your Karma score until you return.
-
Productivity
You can display your daily or monthly productivity in a friendly color-coded graph. Here you can have a better view of how your workflow will improve something, and so on. This feature is also included in all three plans.
Moreover, you can fix a weekly goal, and I recommend putting in a realistic number of tasks. Also, you can have an overview of your completed tasks.
-
Premium features
The Todoist app offers some other great features to be on top of your tasks but only for premium subscriptions. For example, if you take the paid one, you can get options like reminders for your tasks – via email, phone, or when you are in a specific location.
In that way, you won’t have to worry anymore that you’ll forget to do something. Moreover, you can import/export templates and do the backup automatically.
To personalize your task management app, you can choose a favorite color for your theme; you can add labels and filters so that you can know what’s a priority on your to-do list.
Moreover, you can upload files in the premium version comments, add tasks via email, and all the necessary instruments for better and centralized productivity.
As a bonus for you, I will show you some keyboard shortcuts and how to format your text for your to-do list.
- P1, p2, p3, or p4 to set the priority level of a task.
- @ to select a label for a task (Premium plan)
- # to add the task to a specific project
- Click CTRL+M to add a comment to a task
- **bold**
- *italic*
- ** *bold & italic* ** or * **bold & italic** *
Todoist Detailed Integration
You can integrate Todoist with a lot of tools that you may already use. For example, Todoist can integrate with email software, time tracking, communication, planning, file management, productivity, and automation.
Also, you can integrate Todoist with Alexa and Siri. And other tools like Monday.com, Dropbox, Beeminder, HourStack, Slack, Zapier, etc.
Todoist Google Calendar integration
With this integration, you can easily schedule meetings and events and get reminders to be on top of your tasks. And while you can’t create more time in a day, you can definitely use it more wisely when you sync your task list to your Google Calendar. With this real-time, two-way sync between Todoist and Google Calendar, you’ll be able to visualize, organize, and prioritize your tasks from inside your calendar.
Thus, you can get the big picture of your schedule and upcoming tasks or events, or things you really have to do.
