Todoist review – from a personal struggle to a great task management software
Like any other story, the Todoist fairytale starts in 2007 from a personal need with a science student struggling to manage daily tasks. It’s not only that you may be overwhelmed by the situation, but it can be pretty stressful. And he builds a small app which he called Todoist, like a digital to-do list. But, of course, when you start to understand and work with your problems, you realize that you are not the only one in the world who goes through the same situation.
And when your idea comes like salvation for many people in the same situation, the audience will grow organically. And more people will join your vision and start using your product. In these almost 14 years, Todoist has transformed from a personal project into a market-leading Swiss Army Knife of task management.
What is Todoist?
Todoist is a task management software and a to-do list that will improve your workflow, productivity, and even life. In this review, I plan to tell you how this app changed my daily productivity and how you can use it if you have a small company. Of course, if you have a medium business, you may need something more complex. But if you look for a fantastic solution to organize your tasks, this is the one. Instead of writing what you have to do in one day or maybe organize your whole week and stick the notes on the fridge, why not have that list on your phone or laptop, all of them in one place?
From creating tasks, projects, add comments, attachments, push notification, and many other things, Todoist allows users to organize their personal and tasks from work to improve your productivity. And feel accomplished at the end of the day. Moreover, with the Todoist app, people can control their work productivity. How? By adding labels and filters based on priority and scheduling them. Basically, with this software, you can plan when to pay your rent or if you need to go shopping, alongside your work tasks.
Thus, it doesn’t matter if you are a freelancer, a student, or you have a small business, or maybe you work from home, or you are a full-time mother; in this digital era, we all need an app that can help us with a better organization of our life. Not only that your productivity will grow, but your everyday life will be stress-free.
How to use Todoist?
One of the main benefits of Todoist is that it is user-friendly, intuitive, and easy to use. Moreover, Todoist will offer you suitable instruments to track every little detail to get your tasks done. Also, help you organize them by making progress on the most critical projects and even plan your day/week to gain productivity and improve your workflow. I use the Todoist app for macOS to plan my entire week – from things I have to pay for the home to work tasks and even personal projects.
For me, Todoist helps me get the big picture of each day. If I need a deadline to push my workflow, I can schedule every task or project. Add a new task in the app, click + and create it; you can also name it and put due dates and times. Moreover, you can make and add sub-tasks if the project is becoming more extensive. One of the main benefits is that it is intuitive, and the app itself is a guide. And I firmly believe that, and I will prove it in this review.
Organize your projects
Todoist is an expert in organizing and managing your tasks. If you want, it is a Marie Kondo but for digital. It will help you to keep your mind clear but focused on essential projects. Moreover, it is suitable for anyone, no matter their job, from a teacher who wants to plan each class or a freelancer who has many projects in progress for different clients and is looking for a solution to keep them together but still separately. Or even if you have a business with a small team and want every team member to know everybody is working. Or if they have to work together on a project. All you have to do is Add Project. Todoist will remember for you what you have to do and when you have to deliver it.
Planning your day
Another great thing that you can do with Todoist is to plan your day. While enjoying your coffee, think about the essential tasks you want to get rid of and mark them done. This will be considerable progress for your daily schedule and mental health. Just look at what’s in progress and what can’t be postponed and let Todoist remember for you. Today and Upcoming, you have two sections that allow you to see all the due today’s projects and for next week, for example. Planning the day allows you to improve your workflow and not forget to do something for yourself. I even put in Todoist tasks like “Water your plants” on a recurring date among my articles for work, my own poetry project, and even tasks like “Pay the rent, or you get out.”
Task management tool for students
I wish I had known about this amazing tool when I was a student. Sometimes, as a student, it is hard to be on top of all your tasks, and you don’t know yet how to organize them better. Or not to forget when your exams are. I remember that I used to complete my tasks in the last 100 meters because I had too many things on my mind. That’s why you need to extract your to-do list. And put it in the right software to free your brain and focus on the most important things. So let’s see what you can do as a student with Todoist:

I paid for a monthly subscription to have all the features and get the best from this app. And it was worth every penny. So now, let’s discover the Todoist premium features and see for yourself if this was the missing piece from your puzzle.
What I really like about this app is that you can have the big picture of your day. From that point, you can add a task, move it, or schedule them to have realistic productivity on that day. It’s effortless to do that because they have a drag and drop option so that you can clear your to-do list in a blink. Todoist is more than an app; it’s like an exercise with yourself to analyze your productivity, how realistic your expectation is, and what you can do to improve your workflow. Another nice feature is that you can add recurring due dates, which means that you can create a task to become a habit.
For example, I put my personal task on repeat; read from a book every day. And I don’t have to schedule it every time, and the app will remind me that I have a repetitive task every day. Let’s say you want to do this for work tasks, personal projects, or whatever you need. They offer you a little trick for that. To do this, all you have to do is add an exclamation point after the word “every.”And, also, leave a space between the exclamation point and the next word.
From now on, you can start your day differently. No more overdue tasks and you can say goodbye to those moments when you realize you forgot to do something. Todoist can be your biggest helper in organizing and managing your tasks. As I move forward with this Todoist review, I realize that I made the right choice, and I hope you’ll do the same.
Organize and Prioritize
With Todoist, organizing your projects and prioritizing your tasks is no longer a problem. Until using this tool, I had like four agendas for each project, and every morning, I would find myself looking through 4 different to-do lists. It was a time waste and hampered my productivity. But using a task management software like Todoist definitely improved my workflow and my karma. In addition, you can keep your favorite projects on top, add labels and filters to ease your workflow.
Another great option for you to ensure that your projects are organized is that you can add subtasks. This is a great feature when you work in a small team and have a big project. With the Todoist premium feature, you can add subtasks for each team member and share the project with them. Or you can do that with your personal projects. Also, you have to option to highlight the most important tasks of the day.
Share the workload
Another great feature that Todoist offers you is sharing. Why not free your mind from some tasks or collaborate directly with one of your team members on a specific project? Or maybe share your grocery list with your family! There are so many situations where this digital to-do list will ease your job. Also, I think this benefit can be amazing for students when working in a university project team.

Since I’ve been talking about improvements and productivity, Todoist allows you to analyze this based on your tasks and accomplishments. And that’s why I started to use Todoist: organize my own thoughts and work into a digital to-do list that helps me be on top of them.
